Terms of Service
Effective date: August 4, 2026
1. Who we are
TotalEquine (“the Service”) is operated by TotalEquine LLC, a Maryland limited liability company (“we,” “us”). Contact: tomjones@totalequine.app.
2. The Service and its beta status
TotalEquine is a private record-keeping and barn-coordination tool for equestrian riders and barns: test-sheet capture and score history, training journals, expense tracking, documents, goals, scheduling, and related features.
The Service is currently in a private, invite-only beta. Features may change, break, or be removed without notice. We make no commitment that any beta feature will remain available or behave the same way at any later date. Your use during beta is additionally governed by the Beta Tester Agreement you signed; if that agreement and these Terms conflict, the Beta Tester Agreement controls during the beta.
3. Eligibility and accounts
- You must be 18 or older to create an account.
- Accounts are personal. You are responsible for safeguarding your login credentials and for all activity under your account.
- A household account is owned by an adult. Riders under 18 exist only as records insidea parent’s or guardian’s account — they do not have logins, and you may only add a minor rider to your account if you are that minor’s parent or legal guardian.
- Barn staff roles (trainer, barn administrator) carry additional security requirements (such as two-factor authentication) that we may require as a condition of holding the role.
4. Your data and your license to us
- You own your records. Test sheets you photograph, scores, journal entries, expenses, documents, and photos you upload remain yours.
- You grant us a limited license to host, process, and display that content solely to operate the Service for you and those you share it with under the Service’s permission model. We do not sell your data and do not use it for advertising.
- AI-assisted features (such as score extraction from a photographed test sheet) send the relevant image or document to our AI processing provider to produce the extraction. Details are in the Privacy Policy.
- Blank or unscored competition test sheets are the copyrighted work of their publishers (e.g., USDF/USEF). You may upload photographs of your own scored sheets as your personal record; do not upload blank test sheets or use the Service to reproduce or distribute copyrighted test content.
5. Acceptable use
You agree not to:
- access or attempt to access data belonging to another family, barn, or account outside the permissions granted to you in the Service;
- probe, scan, or test the vulnerability of the Service, or bypass authentication or rate limits;
- upload content that is unlawful, infringing, or that you do not have the right to store;
- use automated tools to scrape or bulk-extract data from the Service;
- resell or provide the Service to third parties as your own offering.
We may suspend or terminate accounts that violate these Terms.
6. Barns and shared visibility
The Service lets barn staff see certain records of riders enrolled at their barn (for example schedules, bookings, and survey responses), under the scoping described in the Privacy Policy. Enrolling a rider at a barn is your choice; you can end that enrollment. Barn staff agree to use rider data only for barn operations and not for any other purpose.
7. Scheduling, notifications, and reliance
Schedules, calendars, reminders, and (when introduced) push notifications are informational conveniences, not guaranteed deliveries. Do not rely on the Service as your sole source for time-critical information such as lesson changes or weather cancellations; confirm directly with your barn. We are not liable for missed events, lessons, or costs resulting from an undelivered or delayed notification or a scheduling error.
8. Fees
The Service is currently free during beta. Rider core capture and history will remain free. If paid features are introduced, they will be described and priced before you are charged, with their own terms.
9. Third-party services
The Service is built on third-party infrastructure and processing providers (identified in the Privacy Policy). Optional integrations you enable (such as Google Calendar) are governed additionally by the third party’s own terms.
10. Termination
You may stop using the Service at any time and may request deletion of your account data by emailing tomjones@totalequine.app (see the Privacy Policy for how deletion and retention work). We may suspend or terminate access for violation of these Terms or of the Beta Tester Agreement, or if the Service is discontinued; during beta we will give reasonable notice of discontinuation and an opportunity to export your records where practicable.
11. Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING FITNESS FOR A PARTICULAR PURPOSE, ACCURACY, OR UNINTERRUPTED AVAILABILITY. AI-EXTRACTED SCORES AND DERIVED ANALYTICS MAY CONTAIN ERRORS; THE PHOTOGRAPHED SHEET IS THE AUTHORITATIVE RECORD, AND YOU ARE RESPONSIBLE FOR REVIEWING AND CONFIRMING EXTRACTED DATA. THE SERVICE PROVIDES NO OFFICIAL RESULTS, RANKINGS, OR SANCTIONING AND HAS NO AFFILIATION WITH ANY GOVERNING BODY.
12. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, TOTALEQUINE LLC’S TOTAL LIABILITY ARISING OUT OF OR RELATING TO THE SERVICE WILL NOT EXCEED THE GREATER OF (A) THE AMOUNTS YOU PAID US IN THE TWELVE MONTHS BEFORE THE CLAIM OR (B) FIFTY DOLLARS ($50). WE ARE NOT LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOSS OF DATA, PROFITS, OR GOODWILL. SOME JURISDICTIONS DO NOT ALLOW CERTAIN LIMITATIONS; IN THOSE JURISDICTIONS, LIABILITY IS LIMITED TO THE FULLEST EXTENT PERMITTED.
Nothing in these Terms limits liability that cannot be limited by law.
13. Indemnification
You will indemnify TotalEquine LLC against claims arising from content you upload without the right to do so, or from your violation of these Terms.
14. Changes to these Terms
We may update these Terms. For material changes we will notify account holders (in-app or by email) before the change takes effect. Continued use after the effective date constitutes acceptance.
15. Governing law and disputes
These Terms are governed by the laws of Maryland, excluding its conflict-of-laws rules. Disputes will be resolved in the state or federal courts located in Anne Arundel County, Maryland, and the parties consent to their jurisdiction.
